Most webinar plans budget for registrants and then get surprised on the day. This estimates how many of those registrants will actually turn up live, based on the two things that move the number most: where the traffic came from and what your reminder sequence looks like. Set your numbers and you get a working range, plus the single biggest lever you have not pulled yet.
Webinar show-up rate estimator
How many of your registrants will actually be in the room, and what to fix first.
Treat this as a planning estimate. The anchors come from our own published figures: no reminders past the confirmation runs about 22 percent, a three-email sequence about 35 percent, and that sequence plus a text 15 minutes out about 52 percent. Warm traffic commonly lands between 35 and 50 percent of registrants and cold or paid traffic closer to 20 to 30 percent. The four checkboxes shift the estimate by a few points each, which is a judgement call rather than a measured figure. Your own average across several webinars beats any benchmark.
How this estimate is built
Nothing here is a black box, so you can judge how much weight to give the number. The estimate starts from your reminder setup, because that is the lever with the clearest effect in our own data: a confirmation email on its own tends to produce a show-up rate around 22 percent, a three-email sequence around 35 percent, and that sequence plus a text 15 minutes before start time around 52 percent.
That anchor is then adjusted for who the audience is. Warm traffic, meaning your own list and past buyers, commonly lands between 35 and 50 percent of registrants. Cold or paid traffic runs closer to 20 to 30 percent, because those people signed up on impulse and have less of a relationship with you. A mixed audience sits between the two.
The four checkboxes each add a few points. Those adjustments are a judgement call rather than a measured figure, which is why the tool reports a range instead of a single number, and why the range is five points either side of the midpoint. Treat it as a planning figure. Once you have run three or four webinars, your own average is a better benchmark than anything published, including this.
What to do with the number
If the estimate lands below the usual range for your traffic type, the cause is almost always the reminder sequence rather than the audience, and the fix is a fortnight of work at most. Our guide to increasing webinar attendance works through twelve tactics in the order we would fix them.
If show-up rate is already healthy and revenue still is not, the leak is downstream of attendance. The webinar funnel diagnostic compares every stage from registration to purchase and names the weakest one, and the webinar funnel strategy guide covers what to do about each stage. If you are still choosing a format, the live versus automated decision tool is the place to start, and the webinar payback calculator works out what the whole thing needs to earn.
